How much bar does your event actually need?
Every host asks the same three questions: how many bartenders, how much alcohol, and when do I need to book? Here are the real numbers — with the math shown — for weddings, work functions, and parties across Houston.
How many bartenders do I need?
The working rule of thumb: one bartender per 50–75 guests for full cocktail service. For 100 guests, that means two bartenders — which is exactly why our standard packages send two TABC-certified bartenders, covering events from 50 to 150 guests. Above roughly 150, plan on a third.
The number that actually matters is the length of the line. One bartender shaking every drink to order will drown at 80 guests; two bartenders pouring batched cocktails keep a 100-guest reception moving even in the post-ceremony rush, when everyone hits the bar in the same twenty minutes. That's why we batch: the craft happens before the event, so the line doesn't pay for it during.
Beer-and-wine-only events can stretch these ratios a little. Cocktail-forward events shouldn't. When in doubt, staff for the rush, not the average.
Guests → bartenders
- Up to 50 — one can work; two keeps lines short
- 50–150 — two (our standard package)
- 150–200 — three
- 200+ — ask us; layout matters as much as headcount
How much alcohol should I buy?
- ✦The conversions. A 750ml bottle of wine pours about 5 glasses. A 750ml bottle of spirits makes about 16 cocktails at a standard 1.5oz pour. A case of beer is 24. A 750ml bottle of sparkling pours about 6 toast flutes.
- ✦A worked example — 100 guests, 4 hours. With a typical 40/30/30 beer-wine-cocktail split on ~425 drinks: about 7 cases of beer, roughly two cases (24 bottles) of wine, and 7–8 bottles of spirits. Add one bottle of sparkling per 6 guests if you're doing a champagne toast.
- ✦Or skip the calculator entirely. As a dry-hire bar, we build an exact shopping list for your guest count, event length, and menu — down to the count of limes. Unopened retail bottles are usually returnable in Texas at the store's discretion, so over-buying carries little risk.

What does a mobile bar service include?
With our dry-hire model, you buy only the alcohol — the bar service brings everything else. That means TABC-certified bartenders, house-made syrups and mixers, ice, fresh garnishes, glassware or eco-friendly cups, bar tools, the full bar setup, and a zero-proof version of every cocktail on the menu.
The alcohol comes from an exact shopping list we build for your guest count and event length, purchased at any Houston retailer at store prices — no caterer's 3–4x markup on the bottles. The full breakdown of how that works, and what it saves, is on the dry-hire page.
Venues sometimes ask outside bar vendors for proof of certification or liability coverage; we provide both directly to your venue as part of every booking.
